The dashboard view

The risr/assess dashboard acts as the welcome page to the software. After logging in, you are immediately shown all current Exams in Progress. These are exams that have been published, and their status is PENDING or IN PROGRESS. This is important information for an administrator that is presented immediately and clearly. Multiple exams can be published and administered at the same time, each exam is controlled on an individual basis.

The dashboard offers real-time insight into exam response data, allowing monitoring of exam progress. For each exam currently in progress, there is information visible as a snapshot. You can see the exam title, and for each session, there is the exam state, the date, the number of circuits, the ratio of candidates, stations, and marshals, the exam pin, and the marking information. 

Navigating the dashboard

Here is a high-level overview of the dashboard and actions available on this page when exams are published to the dashboard.

  1. Exam title: The title of the exam upon creation. 
  2. Exam date: The date(s) selected for the exam upon creation. 
  3. Session states: There are three states a session can have while on the dashboard:
    • PENDING: When an exam session is in PENDING state, the exam is not accessible to candidates, examiners, observers and role players yet. At this stage, users can login and will reach a holding page until the exam has been started.
    • IN PROGRESS: When an exam session is IN PROGRESS, the exam is open to candidates, examiners, observers and role players. Participants will be automatically moved into the exam.
    • COMPLETE: When an exam session is COMPLETE, candidates, examiners, observers and role players will no longer be able to access the exams. Any users that was previously logged in will be forced to log out by submitting the exam. 
  4. Circuits: The number displayed represents individual administrations of the exam. For written exams, the circuit value will usually be 1. 
  5. Candidates/Stations/Marshals: This displays the number of candidates, stations/items and marshals in the exam. The number of marshals will only be displayed for OSCE exams. 
  6. PIN/Exam letter: All exams have a PIN. The PIN is required for users to access the exam, according to the exam settings. The letter will only be displayed for OSCE exams where 'letter of the day' is part of the site configuration. 
  7. Marking information: The marking information is displayed in four coloured boxes indicating the total number of expected, queued and received marks pertaining to that session. Note that for written exams, marks represent the number of questions answered. Please see the table below for more information on the marking information.
  8. View details: Selecting view details directs you to the view sessions page of the exam. 
  9. Exam control: The exam control is the functionality that allows exam administrators to manage an in progress exam. From the exam control page, you can monitor the users logged in and review the the number of marks submitted. This view is often used for iPad administration. 
  10. View: The view dropdown allows the administrator to access various views including, view candidates, view items, view examiners, view rotation, view logins, and print login details for examiners or candidates.
  11. Start session: Once the session has been started, the exam will open for all users and the session status will change from PENDING to IN PROGRESS.
  12. Stop session: Stopping the session will end the exam for everyone. Any candidates and examiners who are logged in will be forced to finish the exam. The session status will change from IN PROGRESS to COMPLETE.
    • Written exams will automatically close once all candidates are in COMPLETE state. This removes the step of manually stopping the session.
    • OSCE exams will not automatically stop. The session should be stopped once the exam has ended and you have verified that all examiners marks have been received.

Batch Start Sessions

risr/assess 8.19 and higher gives you the option to select multiple sessions within an exam and start them simultaneously. In order to start multiple sessions within an exam at the same time, you will need to follow these steps:

Color Information message Summary
Red Invalid Responses Count Shows the number of responses that are "invalid". These are responses that were received after the exam session had ended. It typically results from a candidate being disconnected at the time of the exam ending and then the system receiving their responses upon re-connection. These invalid responses are available on the View Sessions page for review and decision to accept/reject towards scoring.
Blue Expected Marks Count Shows the expected number of responses to be received. This reflects the number of marks on the exam x the number of candidates.
Yellow Received Responses Queue Length (these responses are not processed by the backend yet). This number should be 0 but can increase on a busy Exam. This number is shared across all live Exams. Shows the number of responses received by the system that are in the queue to be processed on the backend.
Green Received Marks Count. At the end of the Exam this number should be close, or equal, to the Expected Marks Count (blue). Shows the number of received and processed responses.

Markers

If you are logged in as a user with the permission to Mark Exams, you may see other functionality on the dashboard when assigned a written exam to mark. On the dashboard, you'll see a list of items for each exam that you've been assigned to complete marking. Here is a high-level overview of the dashboard for markers and the actions available.

  1. Exam title: The title of the exam upon creation. 
  2. Block: This indicates the exam date block that is associated with the assigned exam. 
  3. Item: The item name(s) of the assigned item(s) to the logged in user. 
  4. Language: If variants are enabled, this column will indicate the variant/language of the item.
  5. Not started: This indicates the number of candidates assigned and marking that hasn't been started. 
  6. In progress: This indicates the number of candidates where the marking that has been started. The marking could have been opened or saved but not submitted. 
  7. Completed: This indicates the number of candidates where the marking is completed. Once marks are submitted, the assigned candidate will become complete. 
  8. Mark: Clicking mark will randomly open an assigned candidate to enter the marks. 
  9. Overview: Clicking overview will direct you to the marking overview to review a table of all candidates and their status (Not Started, In Progress, or Completed).
