The activity log and version history features provide insight into the activities that have taken place during an item's development and usage in the system. When used in combination with the item cloning function, it is even possible to revert to a previous version of an item.
To access both features, navigate to the Item information tab of any item.
Item activity log
The activity log provides high-level visibility of the activity performed by each user per each version of the item. When a new version of the item is created, the activity log starts from scratch, so an independent set of actions is logged for each version.
As you can see in the example below, the log maintains a record of the timestamp, a summary of the action and the user who completed the specific action.
The information is high-level and describes the action that has taken place, but not the details of the action. For example, on 24th April 2018 at 10:53 BST user admin updated the examiner notes on the item (but we do not know precisely what changes were made).
Item version history
When an item travels through a review and approval process, the system creates an approved and indelible version of the item that can no longer be deleted via the user interface. The item version history is essentially keeping a record of each time this has happened.
Note in the example below that this item has three versions, of which #3 is the most recent and approved version. If we were to start a new version of the item, this would become #4 and would be in a draft state until such a time as it travels through the review and approval process.
The records are timestamped and display the user who performed the item's last transition from one approval state to another.
Clicking on the number of the version column will take you back to that version so you can see how it looked at the point it was archived and replaced with the new version. In the image below we have reverted to version #2 of the item.
If you would like to restore a previous version of an item, there are two options:
- If your item is currently in a draft state, you can delete the draft version to restore the previously approved version.
- If your item is in an approved state (or you would like to restore something from several versions ago) click into that version and click Clone. This will generate a copy of that version of the item with a new item number so you can carry on working in there. It is usually a good idea in this situation to either archive the original item or mark it as an enemy of the new one.
