Recording the exam

Where the remote OSCE mechanism is being used to deliver the exam, it is also possible to record the video and audio streams from the online meeting between the candidate, examiner and role player. This also includes any screen sharing feed that may or may not have been part of the examination. Recording the exam can be useful in order to later review candidate and examiner performance, handle any appeals or to review as evidence in the event of any reports of academic malpractice.

The recording of the exam is an additional chargeable service and, as a first step, should be discussed with your Account and Relationship Manager so it can be appropriately applied and billed.

Recommended best practice for exam recording

Recording the exam means you are capturing a video recording of individuals and you are therefore storing and processing their personal data. This needs to have an appropriate legal basis and it is important, therefore, that you consider any privacy and data protection implications that apply within your jurisdiction (e.g. GDPR, ECPA, APPs).

Some things to consider (and not limited to):

  • The legal basis for the collection and use of personal data
  • Carrying out a Legitimate Interest Assessment (LIA)
  • Ensuring transparency with participants and obtaining consent where required
  • Establishing a retention policy for recordings*
  • Being set up to handle candidate or examiner Subject Access Requests
  • Ensuring that video recording of the exam is considered as part of your institutional Data Protection Impact Assessment (DPIA)

* The recordings will be deleted from the risr/ servers after a retention period discussed and agreed with you.

Setting up the exam to be recorded

The recording facility can only be enabled by risr/ team members and so needs to be requested via the service desk for each examination period. Recording must also be enabled before the exam is published to the dashboard. Once you have established your testing plan please submit a ticket to the desk to include:

  • The date of the examination(s)
  • Start time and end times
  • Number of expected concurrent users

We require at least one calendar month notice for enabling video recording. This is to enable us to request the provision from Amazon Web Services and to mitigate for any delays in that process. 

Once the exams have been built in risr/ assess please also notify us of:

  • The URL(s) of the examination session(s) to be recorded (e.g. https://<your_subdomain>.assess.risr.global/scoring/diets/<exam_reference_ID>/sessions/
  • Streams required for the recordings (candidate / examiner / role player)

We would also always recommend setting up a small test exam to test the recording functionality in advance of a larger examining session, so please also include the details of any test exams for which recording should be enabled.

Accessing recordings 

Once the examination has been conducted the recordings will be available for download from the exams page in risr/ assess.
